Top Law firm based in Sandton is seeking a Commercial Secretary to join their team.
Key Responsibilities:
- Manage administrative and organisational tasks including diary management and phone communications
- Format complex documents using track changes, cross-referencing, footnotes, and comments
- Handle PDF document management including annotation, highlighting, redaction, and compression
- Organise physical and electronic documents
- Perform Dictaphone and copy-typing duties
- Prepare and maintain resource and client files
- Administer legal practice operations
- Manage client accounts, including time posting, payment monitoring, and trust balance oversight
- Develop and maintain filing systems
- Update client contact details
- Capture professional timesheets
- Prepare pre-bills and billing memos
- Coordinate with accounts department on debtor management
- Handle FICA administration and compliance
- Perform general office administration
Requirements:
- Minimum 3 years' secretarial experience in a law firm
- Excellent proficiency in MS Office 365
- Matric qualification
- Knowledge of Aderant Expert (CMS) accounting system (advantageous)
- Experience with FileSite (advantageous)
