The People & Compliance Administrator ensures compliance, accurate record-keeping, and efficient reporting across payroll, finance, and site operations. The role manages compliance uploads, supports payroll with deductions and terminations, oversees site administration tasks, and coordinates PPE orders and stock. Acting as a link between site operations and finance, this position provides accurate weekly reports to managers, ensuring compliance obligations are met and freeing management to focus on strategic oversight.
KEY PERFORMANCE AREAS:
1.Compliance & Documentation
- Submit 100% of compliance uploads (AOD, AOR, PPE records) on PaySpace on time.
- Provide weekly compliance reports to Finance and Payroll Managers for salary deductions.
Measure: Weekly compliance reports checked against deadlines.
Target: No missed or late uploads per week/month.
2.Payroll Support
- Provide weekly updates to Payroll and Finance Managers regarding PPE and travel deductions.
- Ensure all documentation for terminated staff is uploaded to PaySpace.
Measure: Accuracy of reports.
Target: Errors <2% per month; 100% accuracy in payroll-related submissions.
3.HR & Site Administration
- Compile AOD/AOR sheets from sites, ensure they are returned and uploaded to PaySpace before PPE orders are placed.
- Ensure new starters receive PPE packs in line with SOP requirements.
Measure: Number of errors or missing documentation.
Target: Fewer than 2 errors per month.
4.PPE & Inventory Management
- Complete PPE orders, stock counts, and issue records on schedule.
- Compile monthly PPE projections for the Financial Compliance Officer.
- Ensure annual PPE requirements are projected and ordered monthly per site and per employee start date.
- Collaborate with Reception to maintain accurate stock levels and ensure availability at short notice.
Measure: Weekly/monthly audits of stock and issue reports.
Target: 100% of orders processed; discrepancies reported within 2 days.
5.Reporting & Communication
- Report discrepancies, shortfalls, or compliance issues promptly to Payroll, Finance, Office Managers, and the Financial Compliance Officer.
Measure: Feedback from managers and monthly issue tracking.
Target: All issues reported within 48 hours of identification.
QUALIFICATIONS & EXPERIENCE:
- Minimum 3-5 years' experience in payroll, HR administration, or finance-related roles.
- Strong working knowledge of Payroll (essential).
- Experience with financial systems such as Xero or Netcash (advantageous).
- Understanding of South African labour law and compliance requirements (AOD, AOR).
- Proven track record in PPE or inventory control (advantageous).
- Experience in a TES / outsourcing / labour services environment would be beneficial.
